Session Chair Instructions

Thank you for helping to make IUS 2022 an outstanding conference. Please note that you must be registered for the conference in order to participate as a session chair.

You can view a summary of your session(s) by searching your last name here.

Clicking the session code hyperlink will show a detailed listing of all papers in your session, which you can save or print for reference.

Please review session chair duties below.

CONFlux Virtual Platform

  • Platform login credentials will be provided a few days ahead of the conference dates
  • Review the presentations within your assigned session to prepare a few questions for the live sessions (in case none are asked by the audience)
  • If you are chairing a poster session, please add 1-2 questions to the ‘ Conversation’ tab of each poster to encourage discussions.
  • Contact Brianna Orr if you notice any issues within the platform

Lecture Sessions

  • At least one chair per session should be attending in person
  • There will be A/V staff in each room who will connect to the Zoom session
    • There will be a presentation laptop in each room which will have the presentation files sorted into session folders
  • Ensure that the session stays on time; presentations + Q&A cannot exceed 15 minutes each (30 minutes for invited talks)
  • Prepare a brief introduction to open the session
  • Plan to join your session at least 10 minutes early
  • Moderate the Q&A portions of the session, and ask questions if the audience does not
    • Monitor the Zoom chat during Q&A to ensure that questions asked through the virtual platform are relayed
  • Make a note of any no-shows and whether it was due to technical difficulties or if the speaker did not show at all
  • It is preferred that all presentations are done live, including virtual presentations. If a virtual speaker does not show, the pre-recorded video will be played back by the A/V staff.

Poster Sessions

  • Plan to join your session at least 10 minutes early
  • Plan to start discussions or ask questions if the audience does not
  • Make a note of any no-shows
    • Virtual posters will be hung with a QR code so the audience can visit their presentation in the virtual platform
    • There are not poster sessions specifically held for virtual presentations
  • There will be a poster layout included in the final program for reference

We will be hosting a training session for session chairs in September, and will send out more information regarding this soon.
